The Director of Financial Aid serves as a senior member of the Student Services and Enrollment Management teams. S/he is responsible for administering financial aid programs in accordance with federal guidelines, institutional policies and procedures, and foundation and donor intent.

The Director will provide leadership, vision, and direction for the administrative and operational activities of a service-oriented Financial Aid Office that is essential to the university’s strategic goals involving student recruitment, retention, and persistence.

The Director reports to the AVP of Student Services and supervises an office of two full-time financial aid professionals. S/he serves on multiple University committees and collaborates with academic and student services offices across the University including but not limited to the Admissions, Student Accounts, Registrar’s, Dean of Students, Finance and Administration, Institutional Effectiveness, and Information Technology offices.

ESSENTIAL FUNCTIONS:

Federal Financial Aid Programs:

  1. Administers and participates in the accurate and compliant packaging of all financial aid eligible students; assists students and prospective students with the process of applying for federal financial aid.
  2. Formulates cost of attendance calculations and analysis.
  3. Authorizes, disburses, and coordinates payment of financial aid funds with the Student Accounts Office.
  4. Monitors Satisfactory Academic Progress (SAP) to ensure federal financial aid eligibility; confers with the Registrar’s Office for SAP appeals.
  5. Ensures the University is in compliance with federal and accreditation agency regulations by researching, interpreting, and applying relevant regulations, including Title IV program guidelines; stays abreast of Title IV program updates and changes.
  6. Oversees the preparation and submission of federal reporting, such as the Federal Application to Participate and Fiscal Operations Reports (FISAP); supplies requested information to the Office of Institutional Effectiveness for the IPEDS, Gainful Employment, and other required or relevant reporting.
  7. Ensures the University’s federal program participation agreement remains current; will submit updates regarding new programs and/or location changes; maintains a policy and procedures manual in accordance with federal regulations.
  8. Administers Return to Title IV (R2T4) process of withdrawn students to ensure compliance with federal guidelines.
    Serves as the senior liaison for the federal financial aid program audit; maintains audit-ready files and ensures regulatory compliance; collaborates with the Registrar’s and other applicable offices during the audit visit; replies to and disputes audit/program review findings, as appropriate; and keeps relevant University administrators informed of any findings, disputes, and outcomes of audit.
  9. Administers the Federal Work Study program to ensure funds are awarded and paid according to federal guidelines; continuously works to increase community service opportunities.
  10. Maintains an effective communications plan to inform students and prospective students about financial aid deadlines, policies, procedures, and updates.

Institutional and Other Financial Aid Programs:

  1. Manages the awarding and disbursing of new and continuing student institutional fellowships.
  2. Manages the revision and adjustment of institutional fellowships as needed.
  3. Manages the auditing of all institutional financial aid to ensure awards are paid appropriately.
  4. Works collaboratively with the AVP of Student Services, Dean of Admissions, Admissions staff, Budget Officers, and/or the Advancement Office to ensure all endowed and annual fellowships, and grants are awarded and paid as per the foundations’/donors’ intent.
  5. Works collaboratively with the Registrar’s Office to ensure the certification of student veteran enrollment to ensure funds are paid correctly; ensures appropriate financial aid record keeping of these students.

Administrative and Supervision:

  1. Supervises two financial aid professionals.
  2. Hires, trains, and provides professional development to student employees.
  3. Provides and ensures that staff receive appropriate training and professional development; ensures staff keep abreast of federal, departmental, and University policies and procedures.
  4. Manages and reconciles the department’s operational and student financial aid budgets.

University Programming and Participation:

  1. Participates as a university leader in key administrative committees and panels, including but not limited to the Petitions and Appeals Committee, Fellowship Review Committee, Retention Committee, Student Grievance Panels; and represents the University at professional meetings and organizations.
  2. Participates in prospective student informational sessions, new student orientation, First Year Experience programming, Re-Orientation, graduation, and other student and prospective student events.
  3. Works closely with CGU’s administration, faculty, and staff on matters relating to all financial aid programs administered through the Financial Aid Office.
  4. Performs other duties as required.

SUPERVISORY RESPONSIBILITY:
Two full-time financial aid professionals; hire and train student employees.

QUALIFICATIONS:
A Bachelor’s degree, Master’s preferred, or any combination of education and experience that provides the required skills and ability. Minimum five years related experience including supervisory experience with demonstrated leadership and management experience. Must possess a valid California Driver’s License and be approved as a CGU authorized driver.
