This is full-time position, including benefits, reporting to the Director of Transdisciplinary Studies (TNDY) and the Director of Preparing Future Faculty (PFF). The Academic Affairs Program Coordinator will be responsible for administrative operations in both TNDY and PFF programs. The individual must demonstrate an understanding and commitment to the mission of each program:

Transdisciplinary Studies Program Mission: 1) to enable CGU’s scholars to collaborate around society’s most complex issues, and 2) to offer students opportunities to construct, blend and transcend traditional academic fields so they may shape their individualized courses of study to extend beyond disciplinary boundaries.

Preparing Future Faculty Program Mission: 1) to create and lead an integrated, innovative and transdisciplinary teaching and learning community at CGU, and 2) to foster inclusive pedagogy and reflective practice as part of the professional development of graduate students in developing teaching knowledge and skills.


  1. Program Administration: The individual is responsible for the programmatic administration of Transdisciplinary Studies (TNDY) and Preparing Future Faculty (PFF). The individual must demonstrate an understanding and commitment to the academic goals of these programs and interact well with a diverse community of students, faculty and staff. The program coordinator must handle general inquiries from outside callers, faculty and students, and they are responsible for maintaining each program’s filing system, syllabi, forms, and invoices. The program coordinator will schedule and support program-sponsored meetings, workshops, conferences and other events. They will attend meetings and keep minutes. The individual will also administer attendance, evaluation, and reference data for each program.
  2. Communication: When called upon, the individual will coordinate the regular call for courses and communicate course offerings, scheduling, and evaluations, working with the Registrar’s Office, faculty, and other program coordinators. The individual will also communicate matters on student petitions, administrative requests, and programmatic announcments (eg. fellowship opportunities, special lectures, and award announcements). The program coordinator will track and present student certifications and achievements.
  3. Administration of Funding: The program coordinator will reconclie the TNDY and PFF budgets and report to each Director. They will work closely with HR, Financial Aid, Sponsored Research, and Advancement. The program coordinator will process: all vendor payments, payment to faculty and students for courses, stipends, awards and reimbursements, and purchasing and inventory requests. They will also provide clerical support for grant and fellowship awards.
  4. Supervision: The individual will supervise student assistant(s) who will work on projects and tasks as assigned. Program coordinator duties will include student scheduling, timesheet administration, and payment coordination with HR and Financial Aid.
  5. Events: The individual will coordinate with catering services, facilities, and room/venue reservations, and they will confirm and communicate travel plans for invited guests. The program coordinator will collaborate on event planning with the Office of Advancement, Alumni Relations, Stewardship, and other departments and offices across CGU.
  6. Social Media and Publicity: The individual will create and manage programming and marketing content for TNDY and PFF by creating and maintaining social media presence with Facebook, Twitter, Instagram and campus news sources. They will work closely with Marketing and Communications and develop a communications calendar with a content delivery schedule.

Individual must possess knowledge, skills and ability to be able to successfully perform the essential functions of the position, or be able to explain or demonstrate how the essential functions will be performed, with or without reasonable accommodation, using some other combination of skills and abilities.

  2. Proficiency using Microsoft Office Suite.

  6. Understanding of academic programs and process.
  7. A demonstrated proficiency or ability to learn appropriate software programs, including Peoplesoft, Qualtrics, Kissflow, and EMS.

Bachelor’s degree or any combination of education and experience that provides the required knowledge, skills and abilities. Five to six years’ experience in administrative office position. Experience in academic program administration.
