The Institutional Research Officer at Claremont Graduate University is the top administrative position in Institutional Research and is responsible for research design, data gathering, modeling, assessment, analysis, forecasting and reporting functions, all associated with institutional research and evaluation at CGU. CGU is a small, private, graduate-only institution and a member of The Claremont Colleges consortium. The Officer reports to the Associate Vice President of Academic Planning and Institutional Effectiveness, and plays an integral role in the assessment and planning process for the University. The regular hours for this position are 8:30 AM to 5:00 PM Monday through Friday. Hours may vary due to needs of the University, or department.

ESSENTIAL FUNCTIONS:

  1. Design, collection, analysis, presentation, and communication of demographic and academic data about the university as well as the trends of higher education in general.
  2. Design and collection of data required for the university’s internal program reviews, strategic planning, and accreditation.
  3. Coordination, collection, analysis, and reporting of data about the university to external and governmental agencies.
  4. Coordination, collection, and analysis of data for assessment of practices and activities related to the CGU strategic plan, academic plan, diversity and inclusion metrics, and other initiatives, in collaboration with Provost’s staff and others.
  5. Responding to requests for data and reports from departments, schools, and central offices as needed, collaborating with directors and leaders on the interpretation and use of data in decision-making and institutional effectiveness.
  6. Coordination, implementation, and analysis of student, faculty, staff, and alumni surveys.
  7. Service on university committees, providing guidance on the collection and use of data for decision-making and planning.
  8. Increasing the institutional research capacity of the university through formal and informal professional development opportunities surrounding survey design, data collection and analysis, and assessment.
  9. Participation in and contribution to institutional and academic assessment practices and initiatives for the purpose of institutional effectiveness and improvement.
  10. Supervision of Institutional Research Staff (currently one half-time data analyst) and graduate student assistants.
  11. Development and maintenance of the Office of Institutional Effectiveness community site on the CGU portal and the public website.
  12. Perform other duties as assigned.

REQUIRED KNOWLEDGE, SKILLS, and ABILITIES:
Individual must possess knowledge, skills and ability to be able to successfully perform the essential functions of the position, or be able to explain or demonstrate how the essential functions will be performed with or without reasonable accommodation, using some other combination of skills and abilities.

  1. Knowledge of relational databases and experience designing, maintaining and reporting from large databases and multiple tables. Ability to query enterprise databases using SQL queries, multilevel joins and parameters.
  2. Ability to collect, analyze, and present institutional data for external and internal audiences, ensuring privacy and security of institutional data, and complying with FERPA regulations and the Association for Institutional Research code of ethics.
  3. Proficiency in survey design, implementation and analysis for large organizations.
  4. Expertise in statistical programs, including SPSS, and in data reporting and visualization tools such as Microsoft Excel and Tableau.
  5. Comprehensive knowledge and experience with external higher education institutional reporting agencies, including IPEDS, highly desirable.
  6. Understanding of current trends and needs in higher education in the U.S, including graduate education.
  7. Ability to effectively communicate data findings through the use of written and oral presentations.
  8. Ability to work independently and with a range of departments and personnel, managing and prioritizing multiple projects with the understanding of broader university goals and context of these projects.

EDUCATION/EXPERIENCE:
Bachelors degree; Graduate degree in education, statistics, social or behavioral science, or other related field is strongly preferred, or any combination of education and experience that provides the required skills and ability.
Four + years’ experience in institutional research and planning in higher education is desirable. Should possess a strong background in the design and conduct of inquiry in organizations, the ability to analyze and interpret quantitative and qualitative data, proficiency in statistical packages such as SAS, Stata or SPSS, experience and interest in policy and planning in higher education, organizational and administrative skills, ability to manage and prioritize projects, and excellent written and oral communication and presentation skills. Skill and experience in sophisticated statistical analysis and experience working with many kinds of data are required. Preference will be given to applicants with knowledge of PeopleSoft.

LICENSES/CERTIFICATES:
Must possess a valid passport and California Driver’s License and meet CGU’s authorized driver’s requirements.

Institutional Research staff (currently one half-time data analyst) and graduate student assistants.
